This privacy notice explains how Motives ("we", "us") handles your personal data when you participate in our AI-moderated research interviews.

1. Who Controls Your Data

The company that commissioned this research ("the Client") is the data controller. We process your data on their behalf to conduct and analyze the research.

2. What We Collect

During your participation, we collect:

• Video and audio recording of your interview
• Your responses to interview questions
• Transcript of the conversation
• E-mail address (only if you were invited to take part in this research directly by the Client)
• Demographic information (only if already held by the recruitment panel)

3. How We Use Your Data

We use your data to:

• Conduct the AI-moderated interview
• Create transcripts and analyze responses
• Provide insights to the Client who commissioned the research
• Share your video responses with the Client for their internal review

Optional marketing use: If you separately agree, we may share clips from your interview publicly for marketing purposes on our website, social media, or other promotional channels. If this applies, you will be asked before starting the interview for your consent - if you are not asked for your consent or do not agree to give it when asked, then we will not share any of your data publicly.

4. AI Moderation

Your interview is moderated by artificial intelligence technology. The AI:

• Asks follow-up questions based on your responses
• Helps guide the conversation
• Does not make decisions about you
• Does not analyze emotions or make psychological assessments

5. Who Sees Your Data

Always shared with:

• The Client who commissioned the research (including your video, audio, and transcript)
• Our authorized staff who manage the research
• Our technology providers (listed at www.motives.ai/subprocessors)

Only if you opt in:

• The public (for marketing clips)

6. International Transfers

Your data may be processed outside the UK/EEA by our technology providers. We ensure appropriate safeguards are in place for these transfers.

7. How Long We Keep Your Data

• While the Client remains our customer: We retain your interview data
• After the Client ends their subscription: Up to 2 years
• Marketing clips (if you consented): Indefinitely

8. Your Rights

You have the right to:

• Access your personal data
• Correct inaccuracies
• Request deletion (subject to legal requirements)
• Withdraw consent for marketing use
• Object to processing
• Data portability

9. Legal Basis

Your data is processed based on:

• The Client's legitimate interests in conducting market research
• Your consent (for optional marketing use)
